JOB TITLE – Homecare Coordinator
Report to: Registered Manager - Salisbury

Introduction:

A vacancy exists within Retain Healthcare; we are a dynamic recruitment agency and homecare provider offering temporary and permanent recruitment solutions to healthcare establishments both public and private, and individuals within their homes. This role will include building relationships with local authorities, social care, and health community teams.
As a Care Coordinator, you will be required to ensure the smooth running of the CQC-regulated branch supporting individuals in their own homes, maintaining its excellent reputation. You will seek new opportunities and ensure that the care and coordinating team follow company policies as well as national and local guidance.

Requirements:

  • Must hold a valid driver's license.
  • Possess an NVQ3 in Social Care or be willing to undertake the qualification.
  • Experience in a similar role within the healthcare sector is desirable.

Main Duties and Responsibilities:
  • To ensure the branch continues to grow and develop its homecare service.
  • To ensure the team and the branch overall hit their weekly KPIs, covering areas such as the recruitment of new staff, number of packages taken on, and the development of our private funding customer base.
  • Ensure that the coordinating team creates travel-effective rotas in advance and that customers have a consistent, high-quality service from people they know.
  • Ensure the branch keeps effective relationships with the staff, has an understanding of their work requirements. Ensure the team rosters effectively, with skill matching to specific needs managed effectively.
  • Report and record any safeguarding concerns to the Branch Manager.
  • Attend training and expand your personal development. You will need the ability to use reflective practice, and ensure learning logs are completed so that lessons can be learned and improve overall service delivery for the branch.
  • Meet and exceed realistic KPIs & targets.
  • Always strive for outstanding service, ensuring our customers are looked after with a "there problem is our problem" approach.
  • Approve and keep a record of holidays and ensure there are appropriate staffing levels to ensure capacity.
  • Monitor sickness and absence of staff and work with staff to improve attendance where it falls below the expected standard.
  • You will need to ensure that the homecare service works in an outcome-focused way that is person-centered to the individual customer. Ensure that support plans are written to a high standard and that risk assessments are carried out and reviewed in line with the company's policy. Mentor staff responsible for care plans and risk assessments on how this should be carried out.

    • Process BACS payments accurately and to an agreed timescale.
    • Process BACS Attachment of Earnings.
    • Complete end-of-year processing, including P11Ds and P60s.
    • Deal with manual calculations and update employee records as required.
    • Calculate ad-hoc payments such as holiday pay.
    • Invoice processing.
    • Process P45s for leavers.
    • Deal with HMRC queries.
    Qualifications and Skills
    • Proven experience with payroll processing software (Sage or similar).
    • Experience using accounting software, particularly Xero, is preferred.
    • Attention to detail and accuracy.
    • Excellent communication and interpersonal skills.  
    • Ability to work independently and as part of a team.  
    • Strong organizational and time management skills.
    • A willingness to learn and develop new skills.

    MAIN DUTIES & RESPONSIBILITIES -
    • When required liaise with Social Workers, District Nurses and other agency professionals within the multidisciplinary team.

    • To work in the field and assist the Care Coordinator and Branch Manager. To ensure the quality of care being delivered is to the highest standard expected by Retain Healthcare.
    • Ensuring customers have activities that support them to meet their outcomes.

    • Carry out new service assessments ensuring that an agreed Care Plan and Risk Assessments are in place before the service commences, unless, in emergency cover agreed by the Manager.
    • To ensure that every customer has a Support Plan and Risk Assessments that are regularly reviewed and detailed to meet their individual needs.
    • To identify any further training needs of carers information observed or customer’s feedback. 
    • To ensure that the service operates at an Outstanding rating with the Care Quality Commission and that all organisational objectives are fully met by their team.
